AutoShop Voice AI ("we," "us," or "our") provides an AI-powered phone receptionist service for auto repair shops. This Privacy Policy describes how we collect, use, and protect information from callers, shop account users, and visitors to our public website and dashboard.
1. Information We Collect
When you call a shop that uses AutoShop Voice AI, we may collect:
- Phone number — your caller ID, used to send follow-up SMS and match you to your service history at the shop.
- Name — if you provide it during the call.
- Vehicle information — make, model, year, and service request details you share during the conversation.
- Call recording — if the shop has recording enabled, a disclosure is played at the start of the call. You may decline recording by saying so or hanging up.
- Call metadata — duration, timestamp, and a summary generated by the AI for the shop's records.
2. Shop Account and Workspace Data
When a shop owner or staff member creates or uses an AutoShop Voice AI account, we may collect account and workspace information including:
- Name, email address, password credential, and role.
- Shop name, address, hours, services, policies, and routing rules.
- Phone numbers, forwarding settings, call handling preferences, and recording configuration.
- Billing metadata such as plan, subscription status, invoices, and payment processor identifiers.
- Support requests, product feedback, security logs, device/session metadata, and audit events.
- Optional integration configuration and credentials a shop chooses to provide.
3. How We Use Your Information
- Send transactional SMS messages related to a call or service interaction you initiated, such as appointment confirmations, callback notices, status updates, or satisfaction requests.
- Provide the auto repair shop with a summary of your call so they can follow up on your service request.
- Match repeat callers to their service history at the same shop for a better experience, subject to shop-configured verification before any customer, vehicle, repair, invoice, or appointment detail is disclosed.
- Debug, monitor, and improve Service reliability for the shop. We do not use caller personal information to train, fine-tune, or evaluate general-purpose AI models.
- Operate accounts, authenticate users, prevent abuse, provide support, process billing, and maintain security logs.
4. Information Sharing
We do not sell your personal information. We share data only with:
- The auto repair shop you called — they receive your name, phone number, vehicle details, and call summary so they can serve you.
- Service providers — infrastructure providers for telephony, SMS, hosting, and database, each under their own privacy policies and data processing agreements. Our current Sub-processor list is published at /legal/sub-processors.
- Legal requirements — if required by law, subpoena, or court order.
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
5. SMS Messaging
If you provide your mobile number during a call with an auto repair shop using AutoShop Voice AI, you may receive follow-up text messages related to that specific interaction. Messages may include call recaps, appointment confirmations, callback notifications, next steps, and occasional customer-satisfaction surveys. Each message identifies the shop that handled your call. We do not send recurring marketing messages.
Message frequency varies and depends on your interactions with the shop, such as after a call, before an appointment, after a missed call, or after a completed service interaction. Message and data rates may apply.
- Opt-out: Reply STOP to any message to stop receiving texts. We also honor reasonable opt-out language that clearly communicates you no longer want SMS follow-up.
- Help: Reply HELP for assistance.
Mobile opt-in data and SMS consent are not shared with third parties or affiliates for marketing or promotional purposes.
6. Cookies and Analytics
We use cookies and similar technologies to keep users signed in, protect sessions, remember preferences, measure product reliability, and understand public-site performance. Authenticated dashboard pages require session cookies. We do not sell visitor or caller data for advertising.
7. Data Retention
Call records and customer data are retained for as long as the auto repair shop maintains an active account with us. If a shop cancels, we delete active customer data within 30 days unless a different written agreement applies. Encrypted backups expire through normal backup rotation within 90 days. You may request deletion of your data at any time by contacting us.
8. Data Security
We use industry-standard security measures including encrypted connections (TLS), access controls, and secure cloud infrastructure. No system is 100% secure, but we take reasonable steps to protect your information.
9. Children's Privacy
Our service is not directed to individuals under 16. We do not knowingly collect information from children.
10. Changes to This Policy
We may update this policy from time to time. The "last updated" date at the top will reflect any changes. Continued use of the service after changes constitutes acceptance.
